Vanilla Pod Bakery Shipping Policy
1. Our Commitment to Freshness
At Vanilla Pod Bakery, we take immense pride in crafting and delivering the highest quality treats. We use specialised, food-grade packaging to ensure your order arrives fresh, delicious, and in excellent condition. All shipping decisions are based on the need to maintain the integrity of our perishable goods.
2. Order Processing & Dispatch
- Processing Time: Cake Tasting Box orders are baked, and packaged within 1 -2 days then frozen to lock in the freshness. These are then process and boxed for post on the day of despatch. Custom cake orders have a different type of processing time depending on the type of cake and decision.! .
- Dispatch Days: To prevent perishable goods from sitting in transit over the weekend, we typically dispatch orders only on Wednesdays. The customer is able to choose their despatch date during the check out process.
- Order Confirmation: You will receive an order confirmation email immediately after purchase, followed by a separate Shipping Confirmation email with tracking details once your order has been dispatched.
3. Shipping Destinations
We currently ship to all addresses within United Kingdom.
- We do not currently ship to P.O. Boxes or APO/FPO addresses.
4. Shipping Methods and Estimates
Shipping costs are either included with the product price or are calculated at checkout based on the weight of your order and/ or your location.
We either use Royal Mail First Class Delivery (1-3 days delivery) or Royal Mail Special Delivery (next day delivery) based on your preference. Also offer Hand Delivery for local deliveries within 60 miles of Cheltenham.
Note: Delivery times are estimates provided by our courier partner (Royal Mail) and are not guaranteed. We are not liable for delays caused by the courier, weather, or other unforeseen circumstances.*
5. Packaging and Care Instructions
- Secure Packaging: Your order is packed in sturdy boxes with internal padding to prevent damage. Temperature-sensitive items may include a coolant packs to maintain freshness during transit.
- Upon Delivery: You are responsible for ensuring someone is available to receive the package on the estimated delivery date. We recommend bringing the package indoors immediately upon arrival. Please follow the care instructions provided within your box, as our baked goods are best enjoyed fresh or stored as advised.
- Perishable Goods: We cannot be held responsible for items that spoil or are damaged due to a failed or delayed delivery where the customer was not available to receive the package.
6. Damaged, Lost, or Delayed Packages
- Damaged Goods: If your order arrives damaged, please take clear photos of the packaging and the damaged contents. Contact us immediately (within 24 hours of delivery) at enquiry@vanillapodbakery.com with your order number and the photos so we can assess the situation and arrange a replacement or refund, where appropriate.
- Lost or Delayed Packages: If your tracking information has not updated for 5 business days or your package is confirmed lost by the carrier, please contact us. We will work directly with the courier to resolve the issue. We cannot offer a replacement or refund for packages marked as "Delivered" by the courier.
- Incorrect Address: It is the customer's responsibility to ensure the shipping address is correct. We are not responsible for packages that are undeliverable or delayed due to incorrect address information provided at checkout. Re-shipping an order due to an incorrect address will incur additional shipping and product costs.
